Account Manager, Projects & Facilities

In the role of Account Manager, Projects & Facilities, you will be responsible for leading your team in the delivery of exceptional services and support to your client. Building and maintaining a trusted relationship with your client is a key factor in the success of Visions Management. The Account Manager plays an important role by guiding, mentoring and supporting the onsite team. They are wholly responsible for all aspects of the account. The Account Manager leads by example by maintaining a strong connection with Visions, while at the same time delivering for the client.

Deliverable Role/Responsibilities:

  • Build and maintain strong relationships with clients, vendors and stakeholders using status reports, recurring meetings and other methods as required ensuring high customer satisfaction.

  • Act as the Visions representative and advocate for the client.

  • Attend all required client, stakeholder and vendor project, recurring, and status meetings.

  • Responsible for all aspects of project delivery, including PM assignment, reporting and project management.

  • Ensure projects are executed efficiently, focusing on budget, managing schedule and maintaining strong communication with all parties involved.

  • Plan and manage yearly project schedules, coordinating large campus events, resources and team members.

  • Coordinate with clients, vendors and stakeholders on yearly schedules for large client events and other high-visibility projects.

  • Lead and mentor team members, providing guidance and support to ensure project success and individual development.

  • Lead team to manage projects end-to-end, from planning through execution and delivery, ensuring they are completed on time, within scope and on budget.

  • Foster a collaborative work environment, engaging with team members daily to ensure they are informed of ongoing activities and project updates.

  • Provide yearly budget projections for stakeholders and track monthly budget and invoice analytics for all projects.

  • Create and maintain a PO Project Tracker, assigning project numbers, tracking costs, and ensuring budget alignment.

  • Keep all teams informed on budget and schedule documentation, updating forms and tracking folders as necessary.

  • Manage the assignment, scope, and execution of daily facilities and workplace tickets per user requirements.

  • Provide Certificates of Insurance (COI) to all buildings for vendors (3-4 times a year) and maintain accurate badge records and yearly updates for all vendors.

  • Ensure all vendor invoices, timesheets and cost tracking are properly documented, including approving daily timesheets for vendors.

  • Regularly input and track timesheets, creating mock invoices and tracking and managing project budgets.

  • Oversee the financial accounting for this embedded account, including budgeting, invoice approvals, and ensuring financial targets are met.

  • Identify and pursue opportunities to expand the stack of services offered to the account, leveraging client needs and business growth potential.

  • Identify upselling opportunities and drive additional revenue through expanded services.

  • Proactively identify and mitigate risks that may have an impact on the account’s financial or operational performance.

Requirements:

  • Minimum Five years of facilities management, workplace services, or project management capacity

  • Minimum Three years’ experience working with vendors

  • Intermediate to advanced knowledge and experience with Microsoft Office

  • Two years as a Lead, Supervisor, or Manager

  • Able to work nights and weekends when projects require

  • High school diploma

Qualifications/Skills:

  • Strong background in project and account management, ideally in a facilities or events-driven environment.

  • Experience in vendor management and working with PO/invoice tracking systems.

  • Excellent communication skills with the ability to coordinate across multiple teams and departments.

  • Proficiency in managing budgets, project schedules, and providing high-level reports to stakeholders.
